1. PREAMBLE:

Karunya University conducts extension / non-academic activities to strengthen campus community connection with a view to reach out to the underprivileged and marginalized in the society through action oriented interventions and social initiatives.

All Students are expected to enroll themselves in Non Academic Activities (NAA) under the Centre for  Extension Activities . NAA are those activities that are outside the regular academic programme. NAA are a means to enhance social interaction, leadership development, self-discipline and self-confidence. These activities are compulsory for students of Karunya University, especially in the first and second year undergraduate and integrated M.Sc. courses and in the first year of postgraduate students. However, students are allowed to volunteer for these activities in the third and fourth years of their courses as an optional and voluntary activity.

There are Nineteen Student clubs functioning under the Centre for Extension Activities to inspire students to contribute to society through community services. Through these clubs students also get exposure to social realities which help to build a link between the student community and the wider community and helps in developing a social commitment.

2. POLICY STATEMENT/PRINCIPLES

  • All students have to earn non-academic credits from their involvement in the Non Academic Activities.
  • Students do not necessarily need to appear for formal examinations in order to earn credits under theseare held / organized outside the standard academic hours of Non Academic Working Days (NAWD) of the University.
  • Each Club shall draw up a calendar of activities for the whole academic year and submit it in the Centre for Extension Activities for concurrence and record.
  • The duration of attendance details of activities shall be marked by the Club Coordinators / Programme Coordinator. The Club Coordinators / Programme Coordinators shall keep a register of attendance and should be available for comparison and cross checking if and when called for by competent authorities.
  • Centre for Extension Activities will consolidated the NA credits and forward to CoE.
  • A student who fails to earn sufficient number of credits under NAA will not be eligible to participate in the convocation of the University and the award of degree.
  • Those who do not have sufficient NAA credits will have to work additional hours to fulfill NAA related credit requirements and earn his/her degree.

5. ROLES AND RESPONSIBILITIES

  • The Board of Extension Activitiesconsists of the following members:

  • Head-Centre for Extension Activities is responsible for overseeing the matters pertaining to the conduct of extension / non academic The Head – CEA in coordination with all the Club Coordinators / Programmeoordinators / Student Coordinators carryout the scheduled activities.
  • Club Coordinators / Advisors areresponsible for conducting the scheduled activities of their respective clubs systematically with the assistance of Programme Coordinators. CCs are responsible for preparing and conducting programmes as per Action Plan and Non Academic Credit list at the end of every semester and submit to Head – CEA.
  • Co- coordinators assist the Club Coordinators in conducting Club Programmes and act as a Coordinator in the absence of Club Coordinator.
  • Programme Coordinators assist Club Coordinators in conducting the scheduled activities systematically.
  • Student Coordinators assist Club Coordinators and students in conducting the scheduled activities systematically.

6. POLICY PROVISIONS/CONTENT

  • REGISTRATION OF COORDINATORS: Announcement are made during the last week April every year in Morning Assembly sessions regarding the registration of CC / CoC / PC for various Clubs. Staff members who wish to join the Clubs and shoulder the responsibility of coordinating Club activities register themselves in any Club of their choice by submitting online Registration Form through MyKarunya or http//: ctc.karunya.edu during second week of June every year. Once the registration process is over a consolidated list of staff members is prepared by the Head-CEA and submitted to the Registrar for perusal.
  • REGISTRATION OF STUDENTS INTO CLUBS: Announcement are made during the last week of April in Morning Assembly sessions regarding the online registration of students into various. Clubs. Students apply for membership in any student club by submitting Online Registration Form through MyKarunya or http//: ctc.karunya.edu. A student registered with a particular club has to continue with the same club for a period of at least one year, and credit is awarded only at the end of the even semester.
  • SELECTION OF COORDINATORS: Head-CEA will prepare a list of selected members (to act as Club Coordinators. Co-Coordinators and Programme Coordinators) and submit to Registrar for approval. Office Order will be prepared and circulated among all the departments by the Registrar. By default, continuous absenteeism of 3 programmes result in cancellation of their membership. Marks are awarded based on their attendance and performance in the Annual Appraisal Form.
  • STUDENTS ENROLLMENT INTO CLUB ACTIVITIES:All students of First Year B.Tech enroll into NSS from the odd semester in the first year of their enrolment into the University. The first year UG students can get Non Academic Credit through NSS only in their first year of study. Students have an option of joining into one of the student clubs from the second year of the under-graduate programme. Enrolment in NSS in the first year and in one of the student clubs in the second year is obligatory for the students. However, students who are enthusiastic about working in student clubs in their third year have an option of joining a club of their choice. Students are not expected to enroll and participate in NAA in their final year graduate programme unless specially permitted by the respective Director or HoD.
  • ENROLLMENT INTO NON- CLUB ACTIVITIES:Students have an option of joining the following Non Club Activities also. Sports quota students and KU Sports and Games team members can register with Department of Physical Education and earn NA Credits through Sports activities. Students can register their names as volunteer of various committees in Karunya Evangeline Memorial Tournament, MindKraft, Annual Thanksgiving Day, Mega Play and University Special Programs approved by Vice-Chancellor earn one Non Academic Credit as per norms. Students can register their names with Department of Value Education and earn NA Credit as per norms.
  • ORIENTATION:An orientation programme is conducted by CEA with the help of domain experts for all the registered CCs, CoCs, PCs and Student members before the first Non academic working day, in order to introduce all CCs to students and briefing about the purpose and objectives of various student clubs.
  • ACTION PLAN: The Club Coordinator / Co-coordinator draws action plan for the current semester and submit to Head-CEA during the last week of June every year. Upon receipt of club-wise action plans the Head – CEA calls all the CC &CoC for a Planning Meeting during first week of July and finalize the action plan for current semester in consultation with the Vice Chancellor. The programmes for NAWD are announced in the Morning assemblies, published in ctc.karunya.edu and Residence Notice Boards prior to two days of Non-Academic Working Day (NAWD) for students’ reference. A copy is emailed to all staff members.
  • ATTENDANCE:All Club Coordinators are provided with Attendance Register consists of enrolled Students Attendance Form, Programme Coordinators Attendance Form and Action Report Format during the fourth week of July. The Club Coordinators maintain the register of attendance regularly.
  • Attendance in Cub Activities: A student mandatory to attend all the Non Academic Working to earn non-academic credit under Non-Academic Activity (NAA).

Attendance of 8 NAWD  = 2 NA Credits (minimum 7 NAWD)

Attendance of 4 NAWD  = 1 NA credit

If any student could not earned NA credit, due to shortage of attendance, they can continue in the next semester to earn NA credit.

  • Attendance in Non – Club Activities: A student has to work for 40 hours excluding OD hours to earn one non-academic credit under Non – Club Activities (DoVE, Sports, KEMT and University Functions.)

The organizing secretary of KEMT, Mindkraft and University functions has to prepare consolidated NA credit list in the prescribed format and submit it to Head-CEA for awarding NA credit within seven working days of the function.

  • PREPARATION OF NA CREDITS LIST: The respective club coordinators and Non- club activity coordinator submit reports and Attendance Register on non-academic credits to Head - CEA within seven (7) working days after the completion of scheduled non-academic working day activities, and Head - CEA consolidates the Attendance of Clubs within seven (7) working days of receipt of the Attendance and published in the ctc.karunya.edu for students’ reference.
  • PUBLICATION OF NON ACADEMIC CREDITS: The consolidated Non Academic Credit list is published in ctc.karunya.edu during the last week of every academic year Students can verify their NA credits, if any discrepancies, they can download the rectification form and submit to CEA office in a stipulated time for rectification. Final list of Non Academic Credit List is published after one week of the due date for submission of rectification forms.

6.11 AWARD OF CREDITS:

6.11.1. The consolidated NA credits is to be submitted to CoE by Head-CEA within five working days after the last working day of the even semester of each academic year. The CoE will grant the NA credits to the students as per the University norms.

6.11.2 The students are given the provision of earning additional NA credits apart from the minimum requirement which will be certified in their mark sheets by the CoE.

6.11.3 CLEARANCE OF NON ACADEMIC CREDIT ARREARS:A student who fails to earn sufficient number of credits under NAA is not eligible to participate in the convocation of the University and the award of degree. Those who do not have sufficient NA credits have to work additional hours and by  paying Rs. 500 for every lacking NA credit, to fulfill NA credit requirements and earn his/her degree.

  • CANCELLATION OF CLUB ACTIVITIES: When the number of applicants for a certain club is less than the minimum required, then the CEA in concurrence with the responsible Club coordinator takes decision to suspend the activities of respective club temporarily, and same are communicated to all registered applicants as soon as possible.
  • SUBMISSION OF SEMESTER REPORT: Head CEA consolidates all reports received from the respective club coordinators and submit to the Registrar and Vice Chancellor.

  • However, students can also earn all their required Non Academic Credits through CEA Clubs.
  • All the UG & PG Students are not allowed to earn Non-academic credits in their final semester. They should earn all the required Non-academic credits before the final semester.
  • Club student members expected to attend all the NAWDs to earn NA Credit and should avoid any academic programmes / activities during Non Academic Working Days.

During the NAWD, physical attendance is mandatory in order to earn the required NA credit. Absence due to PL, OD, ML and/or any other kinds of leave will not be considered for the students to earn the NA credit.

9.1 Guidelines for CEA Club Outbound Programmes (OB) (External Visits)

  • Club Coordinators / Programme Coordinators shall avail prior permission from the Head / CEA specifying all the details of the Out Bound Programmes.
  • Limitation of the External Visits:
    1. NSS and CHS is permitted to arrange village visits / programmes in all the non-academic working days with in 15 kms in and around Karunya University.
    2. All the other clubs is permitted to arrange visits / programmes as follows:
      1. Once in a semester within 15 kms in and around Karunya University.
      2. Once in a semester within 30 kms.
  • Preference will be given to visit adopted villages and predefined places and selected orphanages / old age homes, etc.
  • The duration of the visit strictly includes the time of leaving university premises and the time of reaching university premises within the specified distance.
  • Every unit must be accompanied by Club Coordinator. For every 25 students one Programme Coordinator must accompany. If girl students are travelling one female Programme Coordinator must accompany them.
  • Only those students who are submitted the letter of consent to Students Affairs Office will be permitted to take part in the External visits.
  • The Club Coordinator / Programme Coordinator accompanying the students for external visits shall ensure that all the students who are participating in the visit return back safely to the University. Students cannot break the journey and go to any place during the visit.

9.2 Extra-Curricular Activities – Students External participation:

  • After receiving the Invitation (from other College / University) forwarded from the Registrar’s Office, the announcement will be in the Assembly session by KALA (External Programme) Coordinator.
  • The teams will be selected based on the performance in the preliminary competition / by the Coordinator.
  • Every Team must be accompanied by faculty i/c . If girl students are travelling one female faculty must accompany them.
  • Students should leave the Residence after completing all the procedure in the Residnce.
  • Only those students who are submitted the letter of consent to Students Affairs Office will be permitted to take part in the External participation.
  • The student winners will be honoured in the Assembly sessions, those who have received awards in National / International events conducted by other College / University.
  • TA & DA will applicable to the students and faculty as per the University Norms.
  • If University will pay the TA & DA, the student participants should submit the Award / Cash prize to the University. However they should submit the copies of certificates to CEA Office.

Formation of New Club

Club Name: Women Empowerment Club

Women Empowerment Club at Karunya University, strive to promote the general welfare of students as well as community service within the University community, and maintain an intellectual, social, and cultural environment among women. The purpose of this Club is to establish a strong community of young women on campus by helping to build character, improve self-awareness, and gain confidence within one’s self.
